What a USAJOBS federal resume is for

Federal hiring works differently from private-sector hiring. Human resources specialists check your resume against the qualifications in the job announcement before a hiring manager ever sees it, and they will not assume anything that is not written down. Since OPM's Merit Hiring Plan, federal resumes are also limited to two pages, and USAJOBS will not accept anything longer. That combination, a strict length limit and detailed required information, is why most private-sector resumes, and most older federal resume templates that ran to five pages or more, no longer work.

This template is built for the current rules. The two-page resume has a header with citizenship, veterans' preference, federal status and clearance, a summary matched to the announcement, and work experience entries with every detail USAJOBS asks for: job title, series and grade for federal jobs, employer, location, month and year dates, and hours per week, followed by results-focused bullets. Education, certifications, skills and optional volunteer work and awards complete it. It is formatted the way USAJOBS recommends, with a sans-serif font, 0.5-inch margins, 14-point titles and 10-point text. The pages after the resume, which you delete before uploading, explain the rules and include a qualifications matching worksheet and a final check.

When to use it

Use it to apply for federal jobs on USAJOBS: competitive service and excepted service positions, whether you are a current federal employee seeking promotion, a veteran, a recent graduate, or moving from the private sector. Save a master copy and tailor a version for each announcement.

Some agencies and positions outside Title 5, such as certain excepted service and senior executive roles, have their own application requirements; always follow the "How to apply" section of the announcement. Supporting documents like transcripts, SF-50s and DD-214s are uploaded separately and do not count toward the two pages.

How to complete the resume

  1. Read the announcement first. Note the duties, qualifications, specialized experience and required documents.
  2. Fill in the header. Add contact details, citizenship, veterans' preference, federal status and clearance.
  3. Write a short summary. Two or three lines that match the announcement.
  4. List relevant jobs. For each, add title, series and grade if federal, employer, location, dates and hours.
  5. Write results-focused bullets. Use the X, Y, Z formula and the announcement's own words.
  6. Add education and skills. Include degrees, certifications and the tools the announcement names.
  7. Complete the worksheet. Check that every requirement is covered.
  8. Cut to two pages. Remove older or unrelated experience and the guidance pages.
  9. Save as a PDF and upload. Attach required documents separately.

Example: a completed experience entry

A fictional applicant applying for a GS-12 Program Analyst position writes:

Program Analyst · GS-0343-11 Department of the Interior, Bureau of Land Management · Denver, CO · March 2023 to Present · 40 hours per week

  • Built and maintained performance dashboards in Tableau tracking 14 program measures for a $40 million portfolio, cutting monthly reporting time from 5 days to 1.
  • Led budget formulation for 3 programs under OMB Circular A-11, preparing justifications that secured a 6 per cent funding increase in fiscal year 2025.
  • Analyzed contract data with SQL and Excel to identify $1.2 million in unobligated funds, which were reallocated before year-end.

Each bullet maps to a line of the announcement's specialized experience, which the applicant records in the qualifications matching worksheet before cutting the resume to two pages.

Federal hiring rules to know

These are the federal rules and USAJOBS guidance this resume follows.

  • Two-page limit (OPM Merit Hiring Plan). Federal agencies accept resumes of two pages or less, and USAJOBS enforces the limit.
  • Required job details (USAJOBS guidance). Employer, title, month and year dates, hours per week, and series and grade for federal jobs.
  • What to leave out. Social Security number, photos, personal information and classified or sensitive information.
  • Formatting (USAJOBS guidance). PDF of 5 MB or less, 8.5 x 11-inch pages, sans-serif font, 0.5-inch margins, 14-point titles and 10-point text.
  • Qualifications (OPM qualification standards). Specialized experience, usually one year at the next lower grade for General Schedule positions above GS-5, must be shown in the resume.
  • Veterans' preference. Claimed with supporting documents such as a DD-214, uploaded separately.

Mistakes that screen out federal applicants

The common problems are resumes longer than two pages, jobs without month and year dates or hours per week, federal jobs without series and grade, generic bullets that do not use the announcement's words, acronyms the reader may not know, missing specialized experience at the required level, and personal information that should not be there. Using the worksheet and the final check before every application avoids each of them.

Frequently asked questions

How long can a federal resume be on USAJOBS?

Two pages. Under OPM's Merit Hiring Plan, federal agencies accept resumes of two pages or less, and USAJOBS will not let you upload or build a longer resume. Supporting documents such as transcripts and DD-214s are submitted separately.

What must a federal resume include for each job?

USAJOBS asks for the employer name, job title, start and end dates with month and year, the number of hours worked per week, and the series and grade for federal jobs, with brief descriptions that show you can perform the tasks at the level the announcement requires.

What should I leave off a federal resume?

Your Social Security number, photos, classified or sensitive government information, and personal details such as age, sex or religious affiliation. USAJOBS also does not accept encrypted or digitally signed documents.

What font and margins does USAJOBS recommend?

A sans-serif font such as Lato, Calibri, Arial or Open Sans, 0.5-inch margins, 14-point titles and 10-point text, on 8.5 x 11-inch pages, saved as a PDF of 5 MB or less. This template follows those recommendations.

How do I show specialized experience on a federal resume?

Copy each requirement from the announcement's qualifications and specialized experience sections, and make sure a bullet in your resume clearly shows it, using the same words. For most General Schedule jobs above GS-5 you need one year of specialized experience at the next lower grade or its equivalent.
